5 Signs Your Books Are a Little Messier Than You Think

Running a business is a lot. Bookkeeping is usually the first thing to slip — and it can slip for months before anyone notices.
We've worked with business owners who swore their books were fine... until we looked closer and found incorrect balances, uncategorized transactions, payment processor mix-ups, and old invoices quietly throwing off their reports.
Here are five signs it might be time for a clean up.
1. Your bank balance doesn't match your bookkeeping software
Your books should match your actual bank and credit card statements — always. If your software says $15,000 in checking but the bank says $11,500, something's off. Missing transactions, duplicates, or entries recorded incorrectly are the usual culprits.
2. Transactions are piling up in "Uncategorized"
Take a look at your Uncategorized Income and Uncategorized Expenses accounts. If they're growing, those transactions haven't been properly classified — and your financial reports are only as accurate as the categories behind them.
3. Stripe or PayPal activity isn't recorded correctly
If you take payments through Stripe, PayPal, or another processor, both the sale and the processing fee need to show up in your books. Say a customer pays $1,000 and Stripe deposits $970 after a $30 fee — recording just the $970 as income understates both your income and your expenses. Reconcile each payment processor account on its own.
4. Old invoices are cluttering your Accounts Receivable
If your books say a customer still owes you for an invoice that was already paid, cancelled, or written off, your Accounts Receivable is lying to you. Go back through older invoices and make sure payments, credits, and write-offs are actually recorded.
5. Your Balance Sheet has negative balances that make no sense
A negative balance in an asset account — like your bank account or Accounts Receivable — is a red flag. If your books show a negative bank balance but there's real money sitting in that account, transactions are missing or recorded wrong somewhere.
